  • Position: Administrative Assistant

    Position Type: Remote – Georgia Resident
    Hours: 15–20 hours per week
    Compensation:
    $25/hour

    Additional Hours. Additional hours may be required during conferences and special events. These hours are compensated at the same hourly rate.

    Position Overview. The Administrative Assistant provides essential administrative, operational, and coordination support to ensure the smooth day-to-day functioning of GAEYC. This role supports communications, membership administration, event logistics, systems management, and light financial coordination. The Administrative Assistant works closely with the Affiliate Manager and Board President and serves as a reliable operational backbone for the organization. This is a hands-on role that requires organization, follow-through, comfort with technology, and the ability to manage multiple workstreams independently.

    Key Responsibilities

    Administrative & Organizational Support

    • Provide administrative support, including scheduling meetings, managing calendars, responding to emails, and handling correspondence

    • Support leadership with document preparation, tracking action items, and maintaining organized digital files

    • Assist with Board and committee logistics, including meeting scheduling, agendas, and materials

    Membership Management & Data Support

    • Manage membership records, directory updates, and data reporting

    • Support membership communications, renewals, and onboarding

    • Maintain accurate databases and tracking systems to support reporting and engagement

    Communications & Digital Support

    • Assist with updates to the GAEYC website and social media platforms

    • Support basic content posting, updates, and coordination with leadership or contractors

    • Ensure consistency and accuracy across digital platforms

    Events, Conferences & Meetings

    • Assist with conference and event planning, including registration management, speaker coordination, and logistics

    • Support event logistics such as venue coordination, catering, materials preparation, and audiovisual needs

    • Provide on-site or virtual support during conferences and special events as needed

    Systems & Project Management

    • Manage and maintain Smartsheet systems, including task tracking, timelines, and team collaboration

    • Support internal workflow organization and follow-up

    • Recommend improvements to administrative systems to increase efficiency

    Financial & Administrative Coordination (Non-Accounting)

    • Process invoices, reimbursements, and basic payment tracking in accordance with GAEYC policies

    • Maintain organized financial records and documentation for leadership and external accountants

    • Assist with expense tracking and basic financial reporting support (no independent bookkeeping or audits)

    Qualifications

    • Proven experience in an administrative or operations support role, preferably in a nonprofit or membership-based organization

    • Strong organizational skills with high attention to detail

    • Proficiency with tools such as Smartsheet, Google Workspace, Microsoft Office, and basic website or social media platforms

    • Comfort working with financial documentation, invoices, and reimbursements (accounting experience is a plus but not required)

    • Ability to manage multiple priorities and meet deadlines with minimal supervision

    • Strong written and verbal communication skills

    • Reliable, responsive, and able to work independently in a remote environment

  • Position: Part-Time Consultant – Bookkeeper/Accountant
    Hours: 25 hours per month
    Compensation: $25/hour

    Overview. GAEYC is seeking a detail-oriented and communicative, part-time Bookkeeper/Accountant to provide accurate, timely, and compliant financial management support. This consultant will manage bookkeeping functions, prepare regular financial reports, ensure proper documentation, and work closely with leadership to maintain fiscal accountability. The ideal candidate will be highly organized, skilled with accounting software, and experienced in nonprofit financial operations.

    Key Responsibilities

    Bookkeeping & Financial Management

    • Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger entries.

    • Process invoices, payments, deposits, and reimbursements by GAEYC policies and procedures.

    • Reconcile monthly bank and credit card statements.

    • Track restricted and unrestricted funds, grants, and program budgets.

    Reporting & Compliance

    • Prepare monthly, quarterly, and year-end financial reports for leadership and the Board of Directors.

    • Support the annual budgeting process in collaboration with leadership.

    • Ensure compliance with nonprofit financial regulations, GAAP standards, and GAEYC’s fiscal policies.

    • Coordinate with external accountants or auditors as needed for tax filings and audits.

    Financial Systems & Process Improvement

    • Use QuickBooks, Squarespace, or similar accounting software to manage all transactions and reporting.

    • Maintain organized digital and physical financial files for easy retrieval and audit readiness.

    • Recommend and implement process improvements for efficiency and accuracy.

    Qualifications

    • Proven experience in bookkeeping or accounting, preferably in a nonprofit or membership-based organization.

    • Proficient in QuickBooks, Wave, or similar accounting software.

    • Strong knowledge of GAAP principles and nonprofit financial management.

    • Ability to manage multiple funding streams and track grant expenditures.

    • Highly organized, detail-oriented, and able to meet deadlines with minimal supervision.

    • Excellent communication skills for working with staff, board members, and external vendors.

    • Experience preparing reports for leadership and Board review.
